The Regatta Steering Committee

The Regatta is planned and organized by a body of students, the Regatta Steering Committee. Through this involvement, you will develop as a leader, create long-lasting campus connections, gain real-life experience, take ownership in planning a signature event, and leave an enduring mark on IUPUI’s campus community!

A position on the Regatta Steering Committee will require professionalism, a good attitude, attendance to bi-monthly full committee meetings, and consistent communication with fellow committee members. Through your involvement you will be assisting various teams as they prepare for this large event.

Responsibilities and commitments

  • It is an expectation of all committee members to dedicate a calendar year, usually from January to mid-October to their positions.

  • Committee members will be required to attend
    • Bi-weekly meetings throughout the spring semester and early summer
    • Weekly committee meetings beginning mid-summer leading up to Regatta
  • All applicants are expected to maintain a minimum of a 3.0 cumulative GPA and exhibit a high level of professionalism.

  • All committee members will be working with programs such as Microsoft Outlook, Microsoft Teams, Zoom, Box, and GroupMe in order to achieve successful
    communication throughout the coordination of the IUPUI Regatta.

  • All position descriptions below indicate the responsibilities of each committee member.

  • Committee members will also be expected to complete a certain number of volunteer hours outside of their position descriptions to help advance the event (e.g. tabling).

  • It is essential to understand that your responsibilities may not be limited to the following descriptions, as the IUPUI Regatta is continually growing and changing.

  • Finally, be aware that all committee members work together as a team and overlap in their responsibilities for the entire year's process.


  • Keeps inventory of all Regatta-related items and race materials
  • Obtains timing equipment for race
  • Updates online team registration form
  • Manages maintenance and transportation of canoes—must be able to drive a trailer
  • Coordinates team registration during the event

  • Seeks and secures donations and contributions to the Stefan S. Davis IUPUI Regatta Scholarship fund
  • Researches, employs, and manages all forms of fundraising for the Stefan S. Davis IUPUI Regatta Scholarship fund via Fundly
  • Identifies and recruits sponsors to assist with voltuneer appreciation (e.g., food, prizes, etc.) and contest prizes 

  • Develops an IUPUI Regatta social media plan
  • Manages the official IUPUI Regatta Twitter, Instagram, and Facebook accounts
  • Develops new electronic methods to market the event to the campus and community
  • Works closely with all committee members to develop targeted marketing campaigns and secure engaging content
  • Posts and engages on all social media outlets
  • Serves as the main social media correspondent for the day of Regatta

  • Creates and oversees the creation of posters, flyers, social media graphics, and other essential design elements for Regatta
  • Ensures that all visual elements of Regatta meet the requirements of Regatta and the IUPUI brand
  • Works closely with the entire committee to accurately display all visual elements of Regatta
  • Must have a graphic design background 

  • Works to create the visual elements used to promote Regatta before, during, and after the event
  • Coordinates with the media vendor for creation of pre-event promotional videos
  • Films and edits Regatta promotional videos
  • Photographs Regatta committee and events
  • Must have exemplary videography and photography skills

  • Assists the Director of Vendors with identifying vendors for Regatta
  • Manages volunteer registration process and volunteer orientations
  • Develops volunteer schedules and shifts based on committee needs
  • Coordinates all volunteers the day of setup and race day
  • Serves at the committee point of contact at the Command Tent during Regatta

  • Corresponds with Regatta Week partners and ensures events are executed as outlined in Memorandums of Understanding
  • Assists with planning spring Regatta Week
  • Coordinates Regatta Service Day with the Center for Service Learning (CSL)

  • Is responsible for organization of the Dog Costume Contest and the Team Theme Contest
  • Corresponds with partners to organize Regatta-related contests (Jagathon, ETSC,etc.)
  • Researches and employs contests that add to Regatta festivities
  • Updates registration and rules of existing Regatta contests and assigns prizes for each contest winner
  • Oversees all aspects of Regatta contests

  • Develops the Regatta Court timeline
  • Organizes all aspects of the Regatta court (including application, interviews, orientation, and selection process)
  • Secures materials for the Regatta court and Regatta Royalty (including crowns, sashes, etc.)
  • Responsible for overseeing Regatta Court members at the event

  • Secures artists/exhibitors for the festival area
  • Works closely with Herron School of Art and Design alumni to recruit and select artists
  • Corresponds with artists before and during Regatta
