The 2019 Regatta Steering Committee General Board

The Regatta is planned and organized by a body of students, the Regatta Steering Committee. Through this involvement, you will develop as a leader, create long-lasting campus connections, gain real-life experience, take ownership in planning a signature event, and leave an enduring mark on IUPUI’s campus community! As a member of the general board, you will be a part of the planning process and the fun.

This position will require professionalism, a good attitude, and attendance to monthly meetings. Through your involvement you will be assisting various teams as they prepare for this large event. We want to best match your skills with the areas where help is needed. Some areas/tasks you may be asked to help with:

  • Reaching students through tabling and self-promoting the event
  • Posting social media content on all platforms for the Regatta
  • Planning and executing Spring and Fall Regatta Week
  • Supporting the team before, during, and after the event
  • Recruiting volunteers for various aspects of the Regatta
  • Volunteering for other IUAA events to assist Alumni Relations
  • Contributing your point of view and helping guide overall strategy for the Committee

Responsibilities and commitments

It is an expectation of all committee members to dedicate a calendar year, from December 2018 to December 2019, to their positions. Committee members will be required to attend weekly committee meetings on campus throughout the summer of 2019. All applicants are expected to maintain a minimum of a 3.0 cumulative GPA and exhibit a high level of professionalism. All committee members will be working with programs such as Microsoft Outlook, Google Drive, Trello, and GroupMe in order to achieve successful communication throughout the coordination of the IUPUI Regatta. All position descriptions below indicate the responsibilities of each committee member. Committee members will also be expected to complete a certain number of volunteer hours outside of their position descriptions to help advance the event (i.e. tabling). It is essential to understand that your responsibilities may not be limited to the following descriptions, as the IUPUI Regatta is continually growing and changing. Finally, be aware that all committee members work together as a team, and overlap in their responsibilities for the entire year process.

Board of Directors

  • Identifies and secures financial sponsorships from campus partners including on-campus offices and IU and Purdue Schools at IUPUI
  • Coordinates the placement of the sponsors in the Campus Commons for the day of the Regatta
  • Acts as the main point of contact for internal sponsors throughout the entire planning process
  • Ensures all agreements with internal sponsors are being upheld

  • Identifies and secures financial sponsorships from off-campus organizations
  • Coordinates the placement of the sponsors for the day of the Regatta
  • Acts as the main point of contact for external sponsors throughout the entire planning process
  • Ensures all agreements with external sponsors are being upheld

  • Seeks and secures donations and contributions to the Stefan Scott Davis IUPUI Regatta Scholarship Fund
  • Researches, employs and manages all forms of fundraising for the Stefan Scott Davis IUPUI Regatta Scholarship Fund (i.e., Fundly)
  • Identifies and recruits sponsors to assist with volunteer appreciation (food, prizes, etc.) and contest prizes

  • Recruits students for the Regatta Steering Committee general board by planning call-out meetings, tabling, etc.
  • Organizes the general board onto committees
  • Serves as the officer responsible for all general board member affairs
  • Responsible for maintaining committee morale by planning social events and meeting activities (i.e. icebreakers, food, etc.)

  • Oversees all race-related activities throughout the year and during the event
  • Updates the online team registration form
  • Organizes team registration information
  • Responsible for planning team practice days
  • Reviews, updates, and publishes the official race rules packet for the Regatta
  • Updates and leads the team-member orientation

  • Contacts companies and finalizes contracts to secure all service-related items
  • Creates a clean-up plan for the event, which includes trash and recycling services during the event
  • Coordinates all service-related companies for the event from pre-event communication to tear-down
  • Assists Associate Executive Director of Internal Affairs with event layout

  • Manages online volunteer registration process with assistance from the Associate Executive Director of Internal Affairs                         
  • Creates volunteer schedule based on volunteers’ chosen shifts
  • Liaison with the Student-Athlete Advisory Committee (SAAC) and athlete participation during the Regatta
  • Develops efficient communication methods as well as incentives for volunteers
  • Schedules, updates and leads the volunteer orientations
  • Directs all volunteers the day of set up and race day
  • Creates event set-up and tear-down plan

  • Responsible for identifying non-food/marketplace vendors for the Regatta
  • Responsible for coordinating placement for non-food vendors
  • Secures food vendors for the event
  • Ensures that food vendors are contracted and pay their fee to participate in the event
  • Liaison with the Marion County Health Department
  • Coordinates all food and marketplace vendors for the event from pre-event communication to tear-down

  • Secures Community Festival Area entertainment for the event
  • Coordinates all entertainment for the event from pre-event communication to tear-down     
  • Researches and potentially employs new forms of entertainment and festivities for the IUPUI and Indianapolis community members to enjoy before and during the IUPUI Regatta

  • Secures artists/exhibitors for the festival area, handles all pre-event communication and places the exhibits within the festival area
  • Works closely with Herron School of Art alumni to recruit and select artists
  • Works with the Herron School of Art to coordinate the “En Plein Aire” Art Contest

  • Works with IUPUI campus partners and community members to plan and execute all events during the week of the Regatta and a spring promotion week
  • Oversees the coordination of Regatta Week events by collaborating with campus and community entities, such as Student Affairs, Greek Life, and other departments, schools, and student organizations 

  • Communicates with the Student Organizations (both graduate and undergraduate) and IUPUI Greek Life regarding Regatta events, activities, and competitions throughout the entire planning process
  • Creates partnerships with student organizations across campus
  • Researches and employs activities specifically targeted toward college students at the event
  • Works closely with the Public Affairs division to engage more students on campus

  • Develops new event elements and activities (parade, spirit days, etc.) to transition the Regatta into IUPUI’s homecoming
  • Updates the Regatta Court application and organizes the application and interview process
  • Responsible for organizing Regatta Court members at the event 

  • Responsible for planning aspects of the following contests: dog-costume contest, team theme, tug-of-war, and banner.
  • Researches and potentially employs new contests to offer as a part of the IUPUI Regatta festivities
  • Oversees and creates rules and registration for all Regatta contests as well as assign prizes for each contest winner
  • Manages all contests throughout the entire process, from pre-event to the day of events
  • Working with the Public Affairs Division promotes contests with the IUPUI and Indianapolis communities

  • Works closely with dedicated alumni, the audio and visual performance company, and production crew to create all of the necessary graphics, videos and audio/visual elements associated with the Regatta
  • Works with the audiovisual company to create the visual show for the event
  • Writes the script for the event announcer
  • Contacts and secures entertainers for the Regatta Experience Stage
  • Develops a timeline for the day of the Regatta based on the availability and length of play time for each entertainer signed
  • Serves as the stage manager on event day

  • Develops the IUPUI Regatta marketing plan, including goals, desired image, and overall strategy
  • Ensures that all marketing messaging is consistent and assists in building brand awareness for the Regatta
  • Researches and selects promotional items for tabling
  • Seeks out opportunities for the Regatta to have a presence at major campus events and engage with the campus more
  • Works closely with all Public Affairs Directors to develop targeted marketing campaigns and engaging content

  • Works with outside companies and news media (including media sponsors) to further promote the Regatta around the Indianapolis community
  • Develop marketing communications/media relations plan, including strategy, goals, and tactics
  • Create content for press releases, articles, and presentations (for internal and external use)
  • Ensures that all marketing messaging is consistent and assists in building brand awareness for the Regatta
  • Works to develop good community relations

  • Creates IUPUI Regatta social media plan
  • Uses all forms of social media to promote the Regatta to students, faculty, staff, alumni, and the Indianapolis community
  • Manages the official IUPUI Regatta Twitter, Instagram, and Facebook accounts
  • Recognizes the event sponsors on the social media outlets as well as specific events that will be incorporated with the day
  • Responsible for adequate postings on social media outlets and works to develop new electronic methods to market the event
  • Serves as main the social media correspondent for the day of the IUPUI Regatta
  • Works closely with all Public Affairs Directors to develop targeted marketing campaigns and engaging content

  • Works closely with the entire committee to accurately display all visual elements of the IUPUI Regatta
  • Works closely with the Director of Media for event video production
  • Works closely with other campus entities to cross-promote campus events for the betterment of both student involvement across IUPUI, and partnerships between the IUPUI Regatta and other IUPUI entities
  • Creates and/or oversees the creation of posters, fliers, social media graphics, and other essential design elements for the IUPUI Regatta
  • Works closely with all Public Affairs Directors to develop targeted marketing campaigns and engaging content
  • Must have a graphic design background

  • Works to create the visual elements used to promote the Regatta before, during, and after the event
  • Coordinates with the media vendor for the creation of pre-event promotional videos
  • Films and edits Regatta promotional videos
  • Photographs the Regatta committee and events
  • Needs to have exemplary graphics and videography design skills
